LeagueClubManager is software that leagues and clubs use to register players, run teams, schedules, game sheets, results and standings, and publish their websites. It is a product of ManagerSense Software Inc. (“we”). This policy covers our web app, our mobile app, online registration and the league and club websites we host. Leagues that also use our SoccerRefManager product for referees are covered by its privacy policy for that part.
Who is responsible for your information
Your club or league decides what it collects and why. We store it on the club’s behalf. You can ask your club about it, or contact us (see Contact us).
What we collect
- Parents and guardians: name, email, phone, address, an emergency contact, your registrations and payments, and the acknowledgements and waivers you accepted.
- Players: name, date of birth, gender, team, and medical notes a parent chooses to give. On game sheets: attendance, goals and cards.
- Coaches and team staff: name, email, phone and teams.
- Club and league administrators: name, email, role and a record of sign-ins and important actions.
- Website visitors: what you type into a club’s contact form, which is delivered to that club.
- Everyone: your password in a form we cannot read, the phone or browser you use, your IP address and a record of your use of the service.
We do not store card numbers, Social Insurance Numbers or bank account numbers.
How we use it
To run the service for your club: registration and payment, teams, schedules, game sheets, results and standings, club websites, and the emails and notifications that go with them. We also use it to keep accounts secure and to fix problems.
We do not sell or rent personal information, and we do not use it for advertising.
Children
Players are registered by a parent or guardian. A parent or guardian can see, correct or ask to delete a child’s information by contacting the club or us.
Who sees your information
- Your club, and the league it belongs to.
- People on your team: coaches see their own team’s roster and parent contacts.
- The public, only what a club chooses to publish: schedules, results, standings and goal scorers.
- Other soccer systems your club uses, on the club’s instruction.
- Companies that help us run the service (hosting, email and notifications, security, card payments, app stores). They may use the information only for that.
- Authorities, when the law requires it.
If the LeagueClubManager business moves to a new company, the information moves with it under this policy, and we will tell the clubs.
Payments
Card payments are made on the payment processor’s own secure page and go to your club’s own account. We never see or store your card number.
Where it is stored
Our servers and backups are in the United States. Information stored outside Canada is subject to the laws of that country.
How long we keep it
For as long as your club uses LeagueClubManager, or until you or the club ask for it to be deleted. Payment records are kept as long as tax rules require. Backups and logs are deleted automatically after a set time.
Deleting your account or data
In the mobile app: open More, choose Delete Account and confirm with your password. Your sign-in and your app data are deleted straight away.
Records your club holds (a family’s registrations and payments, a player’s team history) are not removed by this. To have them removed, ask your club or email [email protected]. We answer within 30 days. Some records must be kept for legal reasons.
How we protect it
Connections are encrypted, sensitive details and passwords are protected in our database, and access is limited to the people who run the service. If a security incident creates a real risk of significant harm to you, we will notify you and the Privacy Commissioner of Canada as the law requires.
Cookies and analytics
We use only the cookies the service needs to keep you signed in and protect forms. We use no advertising or tracking cookies. The mobile app collects basic usage and device information to help us fix problems; it is not used for advertising.
Your rights
You can ask to see, correct or delete the information held about you or your child, and you can turn off notifications in your phone’s settings. Contact your club or email us; we answer within 30 days. If you are not satisfied, you can contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).
Changes
If we change this policy we will update the date at the top and, for important changes, tell the clubs.
